Editorial Judgment
Copyeditors have an added responsibility during the editing process: editorial judgment, which involves deciding which writing conventions to follow and which to discard. These decisions are necessary due to the complexities of the English language, author preferences, the publishing house’s preferred style manual, and reader expectations.
Editorial judgment involves evaluating content quality, relevance, and suitability for publication. It ensures alignment with the publication’s voice and goals, upholds credibility, and effectively engages readers.

The Copyediting Process
A copyeditor performs various steps to help an author achieve an error-free manuscript. Atwood LLC’s process is as follows:
- Prepare the manuscript for editing. After the copyeditor confirms that they have received every part of the manuscript, the first step is to create a working copy and store the original in a secure location. Then, the copyeditor uses a sequence of editing macros to make the manuscript easier.
- Preliminary Read. The copy editor performs a quick read-through to identify (1) any challenging areas (e.g., technical aspects), (2) the general organization, (3) the writing quality, and (4) sections needing extra attention and time (like footnotes or the bibliography). Additionally, the editor creates the style sheet.
NOTE: When a copyeditor finds large manuscript sections requiring author review or rewrite due to inconsistencies or serious issues, it is crucial to consider the impact of bringing this to the author’s attention late in the publishing process. Doing so can directly influence the author’s and publisher’s deadlines and increase the book’s production costs.
- First Read. The first thorough read-through of the manuscript takes a long time, as the editor reads very slowly and carefully. The copyeditor carefully evaluates each word, punctuation mark, logical gaps, and missing information. Afterward, the editor documents every decision made on the style sheet.
- Second Read. During the second read, the copyeditor can correct errors missed the first time, remove mistakes they unintentionally introduced, input the answers to global questions posed to the author (if any), and conduct a final spell check.
- Style Sheet Completion. The editor completes the style sheet and writes a transmittal letter that explains 1) what the author is receiving, 2) how to use the style sheet, and 3) provides instructions for when to return the manuscript for final cleanup.
- Final Cleanup. The editor reviews the manuscript, notes which suggestions the author has approved or rejected, and updates the document. Once complete, the editor returns a clean copy of the manuscript, the edited version, and all supplementary material to the author. The manuscript is then ready for proofreading.
